SGB VIRTUAL MEETING
2020 has proven to be the year we have had to do things differently and it forced us to become more creative to achieve the same or better results than we have had in the past. This also goes for how we hold our AGM and deliver the budget for 2021 to you the parents.
On Monday 19th October the SGB accepted the budget and decided to hold the AGM in 2 ways:
- Face to face meeting with parents on 5th November, and
- A virtual AGM to be held via email, WhatsApp messaging and Google forms, between the 21st October 2020 and 3rd November 2020.
For those parents who will not be attending the face-to-face meeting on 5th November, please find attached all the relevant documents which we normally present at the AGM. Please read through the minutes of this meeting and answer the question on the google form as to whether this was a true reflection of the discussion at the meeting. If you did not attend the meeting, please answer the question appropriately.
- AN EXPLANATION OF HOW THE MONEY WAS SPENT IN 2020.
Please take note from this information that we need the school fees in order to continue to run the school at the standard you have become accustomed to. E.g. Smaller classes. If we did not charge school fees, we would only have a total of 19 teachers which includes the Principal and Deputy. We will not be able to employ additional staff.
- WHEN YOU ANSWER THE QUESTION ON THE GOOGLE FORM RELATING TO THE CHOICE OF WHETHER WE SHOULD BE A SCHOOL FEE PAYING SCHOOL, THINK VERY CAREFULLY AS THIS WILL IMPACT THE QUALITY OF EDUCATION, WE WILL BE ABLE TO OFFER.
- THE BUDGET FOR 2021 WHICH INCLUDES THE INCOME AND EXPENSES FOR THE YEAR.
The budget was drawn up with great consideration of the impact Covid has had on the economy and in turn on the pockets of parents. The SGB had to tread carefully in its approach to preserve the standard of the offering at the school as well as keeping in mind the economic plight parents find themselves in.
3.1 You will notice that we have kept expenses at a bare minimum, and we have not catered for any major improvement/renovations at the school. We have also abandoned the idea of building the 2 classrooms and we have taken the investment out of the budget this year, therefore you will see that the Total for the budget has reduced significantly.
3.2 Please take note that Audit fees is reflected as a separate item on the expenses as the Audited Financial Statements reflects it as such. Previously it was included in Admin costs.
3.3 Bank charges include the charges from Nedbank and the charges for the card machine.
- We have budgeted for the employment of 18 additional staff which includes teachers, office staff, support staff and cleaning staff to ensure that we have smaller classes, a more efficient office to service parents and a cleaner school. This forms the major part of our budget.
- The school fees for 2021 has been increased to R8400 for grade 1 to 7, and to R10400 for Grade R. This is about a 4.3% increase in school fees.

End of Year Memo

Please read the following carefully. This note highlights the programme for the last few days before we close for the December holidays.
We close this year missing some of the wonderful events that you have become accustomed to: class parties, Grade 7 farewell, Grade R graduation, Foundation Phase Prize Giving Evening and the Senior Phase Awards and Valediction ceremony. This saddens us.
Grade1-6 learners who would have received awards will receive certificates for achievement with their reports.
The important Dates to remember:
3rd December conclusion of exams for Grade 4-7
4th December – Final assembly for Grade 7. This occasion will replace the Valediction and Senior Phase Awards Evening. Only Grade 7s and the Grade 6 Learners who were selected as prefects will be present. Unfortunately, no parents will be able to be accommodated. Grade 7 Learners will be receiving awards and a snack pack and gift.
7th -9th December Sports training for those learners who have received letters. School will be dismissed at the normal time.
10th December – reports will be issued to Group A learners from Grade 1-6 and Grade R learners. Learners will be dismissed at 9.30.
11th December – reports will be issued to Group B learners from Grade 1- 6 and to Grade 7 learners. Learners will be dismissed at 9.30.
Please take note that reports will only be issued during these times. The staff will be otherwise engaged and will not be able to serve you.
If school fees are paid up, and all textbooks and media books returned then reports will be issued to learners. Parents do not need to attend.
If school fees are owing or textbooks have not been replaced or paid for, reports will be collected by parents from the office. The Debt collector will be present to sign Acknowledgement of Debt forms and this will be handed over to the Debt collector for collection. Note this could result in legal action being taken against you. Please bring a copy of your ID.
We urge you to settle all outstanding debt so that you avoid all the problems.
School reopens next year on 27th January for Learners. Try to make payment for school fees, uniforms and stationery beforehand via EFT payments to avoid long queues.

The Face-to-face AGM/Budget meeting has been postponed to 10th November 2020. This is due to the fact that some SGB members were not available for the the earlier date set.
This is the most important parents’ meeting for the the year and your attendance is very important. At this meeting we will discuss how your money was spent this year, present the budget for 2021, pass the resolution to charge school fees and other resolutions, and we will also explain the conditions for school fee exemption.
If you have not completed the online Google form, it is vital that you attend.

Please take note that 23rd of October is break up day. School will dismiss at 09h30 for all children. Please make necessary transport arrangements.
School will open on the 2nd of November for Gr 1-6 Group A learners, Grade R’s and Grade 7’s. Gr 1-6 Group B will return the 3rd of November 2020.

We received further guidelines from the Department of Education today concerning Lockdown Learning.
All learners NOT REPORTING to school without a formal letter or submission of a doctor’s note indicating their comorbidities are considered to have dropped out and do not fall under approved home schooling.
These children will be de-registered from our school and reported to the Department of Education as “Dropped Out” learners.
If you have completed the official documentation and submitted to the school, you can ignore this letter.
Please complete the attached documentation by Monday 14th September 2020 or your child must return to school according to his/her group on Monday or Tuesday the latest.
